Job Purpose
Responsible for working with Marketing division to manage the workflow of creative projects. Responsibilities include working with the Marketing Operations team in assigning resources to projects, developing timelines, using the traffic software to manage resource allocation including potential resource conflicts and the need to outsource projects. Generates reports, assists in training staff members on use of the traffic software, and maintains the data integrity of the traffic software.
Essential Job Functions
1. Assists the Marketing Operations team in managing and maintaining the workflow for all creative projects handled by the Marketing division in support of organization and its fundraising efforts ensuring deadlines for delivery of marketing materials are met. Performs essential job functions in an established office environment under normal lighting and climate control tolerances.

2. Assists the Marketing Operations team in maintaining all Marketing projects in the traffic software. Works with team to establish timelines and assigns tasks for each project. Requires input of detailed information into the online traffic software which includes pre-determined tasks, estimated amount of time required to complete each task leading up to a completion date. Requires adjustment of timelines in the traffic software for project workflow and shortened timeframes. Ensures all data is entered and updated in the traffic software in a timely fashion.

3. Generates reports as directed by the requested deadlines. Requires use of a personal computer.

4. Ensures the data integrity of the traffic software by carefully managing information entered into the software and addressing errors or inconsistency of information entered by other users. Requires reviewing each project in the software and evaluating the data input into the project including schedules, hours worked, and changes to project scope.

5. Assists in the preparation of training materials and schedules training for staff to ensure users have proper knowledge on how to use the software, includes group, one-on-one and online training materials. Updates training materials whenever new features or processes have been developed.

6. Handles special projects as assigned.
Knowledge - Requires excellent organizational skills and the ability to manage multiple tasks simultaneously; ability to present oneself in a professional manner and tactfully deal with difficult situations in a customer friendly manner; ability to speak and write in a clear and understandable manner for internal/external relations; ability to understand complex verbal or written instructions; thorough knowledge of Microsoft Office Products (Word, Excel and PowerPoint); knowledge ordinarily acquired through attainment of an Associate’s degree and two (2) years of traffic and/or office management experience. Experience working in an advertising agency or creative environment preferred. Must possess a valid driver's license (essential job functions - 1-6)

Mental - Requires normal attention with periods of high concentration to manage an online traffic system, develop timelines, analyze/manage workflow and develop reports. (essential job functions - 1-6)
Environmental - Requires capability of performing essential job functions in established office environment under normal lighting and climate control tolerances. (essential job functions-1-6)

Manual Dexterity - Requires use of hands, arms and feet for occasional lifting; use of hands and arms to operate telephone, personal computer, fax machine, copy machine, other general office equipment and to record written information; requires capability of operating automobile. Other Job Functions
  1. Performs other various job functions as may be assigned.
  1. Performs job duties as assigned as part of organization’s Business Continuity Management Program, including annual maintenance and testing of business continuity, disaster recovery and emergency response plans.
